Teachers must ensure they have already registered and applied through apps.qeco.ca before submitting any documents to QECO. Any documentation provided to QECO for evaluation must accompany an online application to indicate to QECO that a teacher would like the new information to be reviewed. Details on how to provide documents to QECO can be found here.
All teachers applying to QECO must meet the Eligibility and Affiliate Membership requirements. This is true regardless of whether they are applying to QECO for the first time or not.
For all teachers, official transcripts are required for the following:
- All post-secondary coursework completed to date (degrees, diplomas, university courses, etc.).
- Courses completed at another institution for which the teacher was given transfer credit.
For Technological Education teachers, the following documents are required:
- All Certificates of Apprenticeship, Qualifications and Red Seal from the Ministry of Training, Colleges and Universities. Photocopies are acceptable; however, all numbers on the certificate(s), especially in the Red Seal, must be legible.
- Official transcripts for all post-secondary coursework completed to date (degrees, diplomas, university courses, etc.).
- An official transcript for all OAC, Grade 13 and Grade 12 U/M courses completed.
- Other Technological/Trade qualifications not listed above.
For Teachers with Transitional Certificates of Qualification and Registration from the Ontario College of Teachers
If a teacher’s Program of Teacher Education is still in progress when they apply for their first QECO evaluation, they must provide QECO with the current transcript for that program.
The next time that teacher applies for QECO services, they must provide QECO with one of the following:
- A transcript which shows that their Program of Teacher Education has been completed and that they have received their degree, or;
- The current transcript for the program, accompanied by an official letter from the institution confirming that the program requirements have been met and either (a) that the degree has been conferred, or (b) that the teacher is eligible to graduate.
These documents are required even if the teacher’s public profile on oct.ca shows that they have completed their Program of Teacher Education. The teacher must also meet the Affiliate Membership requirement.
Additional Qualifications (AQs and ABQs)
In most cases, teachers do not need to provide documents to QECO to prove completion of AQ or ABQ courses. An AQ or ABQ appearing on one’s OCT Certificate of Qualification and Registration is sufficient proof.
A teacher can notify QECO when an AQ or ABQ has been added to their OCT Certificate if it was not there before applying. In such cases, QECO can check the OCT Public Register to see if the AQ or ABQ has been added.
Note that there may be some situations where an evaluator requests proof of completion of an AQ or ABQ regardless of whether it is already reflected in their OCT Certificate. If that happens, the teacher will be told what documents are required and how they can provide them to QECO. Teachers are asked to follow their evaluator’s instructions in these cases.
Internationally Educated Teachers
The following documents must be provided to QECO in their original language:
- The diplomas/scrolls for all programs of studies completed at the post secondary level and the transcripts for each year of studies completed.
- The official transcripts will have to indicate each course completed towards the post secondary diploma(s) obtained and, for each course, the hours completed or credits obtained and the mark obtained. Please click here for further information regarding transcripts (this will clarify terms such as “archival certificate”, “mark sheet”, etc. depending on the country).
- Information on the marking scheme used in the institution attended if not indicated on the transcripts.
Translation Policy
Any documents in a language other than French or English must be accompanied by a translation.
Original translations will only be accepted from:
- The consulate, high commission or embassy to Canada of the country which issued the documents;
- A Canadian embassy, consulate, high commission in the country from which you emigrated;
- A translator accredited by a professional association of translators in Canada. To obtain the name of an accredited translator, contact the Association of Translators and Interpreters of Ontario (ATIO) at 1-800-234-5030 or 613-241-2846;
- A translator who has received accreditation through a federal, provincial or municipal government in Canada.
All acceptable translations must be accompanied by a statement indicating all of the following:
- That the translation is accurate and authentic.
- That the translator belongs to one of the categories listed above (identification number and/or seal, name, address and telephone number required).
- Printed name and signature of the translator.
Each document issued by a consulate to Canada should bear the official seal of the institution and the signature of the authorized agent.
Other Documents May Be Required on a Case-by-Case Basis
Depending on the circumstances, an evaluator may request documents not listed here, or documents which a teacher may have already provided to us in the past, or a document a teacher was not previously required to provide. Teachers are asked to follow their evaluator’s document requests. Teachers can always ask their evaluator to clarify any document requests if there is any confusion.
